Ample Air is a family-owned heating and cooling business in Emu Plains, looking after homes across Penrith, the Blue Mountains and Western Sydney since 1982. We follow the Privacy Act 1988 and the Australian Privacy Principles.
"We" means Ample Air Pty Ltd (ABN 55 002 524 307) and Ample Air Service Pty Ltd (ABN 27 121 987 960), who work together under the Ample Air name. Our online store at warehouse.ampleair.com.au and Ample Essential at ampleessential.com.au each have their own privacy policy.
What we collect
When you fill in a form on our website, call, email or book a job with us, we collect what we need to help you. That's usually:
- your name, phone number and email address
- your address or suburb, so we know where the job is
- details about your heating, cooling or hot water system and what you need done
- anything else you choose to tell us in your message
- job history, quotes, invoices and photos our team takes on site
We don't ask for sensitive information such as health details. If you mention something like that (for example, an allergy or a medical reason for needing cooling), we only use it to look after you on the job.
Why we collect it
We use your details to:
- answer your enquiry and give you a quote
- book, carry out and follow up on your installation, service or repair
- send invoices and handle warranty claims with the manufacturer
- remind you when your system is due for its yearly service
- tell you about offers or news, if you've agreed to hear from us
- keep our records accurate and meet our legal and tax obligations
If you'd rather not give us some details, that's fine, but we may not be able to quote or book the job without them.
Reminders, texts and emails
Once you're a customer, we may send you a yearly maintenance reminder and the odd note about your system by email or text. Every email and text tells you how to stop them. If you tell us to stop, we stop all contact of that kind, not just that one message. You can also call or email us any time to be taken off our lists.
Cookies and tracking on our website
Like most websites, ours uses cookies and similar tools so we can see how the site is used and whether our advertising is working. They are:
- Google Analytics and Google Tag Manager, which show us which pages people visit and how they found us
- Google Ads, which tells us when someone who clicked one of our ads goes on to call us or send a form. If you call us from an ad, Google may show a forwarding number and tell us the call happened, how long it lasted and the caller's area code.
- Meta Pixel (Facebook and Instagram), which tells us when people who saw or clicked our ads visit the site, and lets us show our ads to people who've visited. When you send a form, a scrambled version of your email or phone number may be shared with Meta so we can see which ads led to an enquiry.
- Cloudflare Turnstile, which checks that a form is being filled in by a person and not a spam bot
These tools collect things like your device, browser, rough location, the pages you view and how you arrived. We don't use them to work out who you are. You can block or clear cookies in your browser settings, install Google's Analytics opt-out add-on, or change your ad settings with Google (adssettings.google.com) and Meta (in your Facebook or Instagram settings). The site still works if you do.
Who we share it with
We never sell your information. We only share it with people who help us do the work, and only what they need:
- Simpro, the job management system where we keep customer records, quotes, jobs and invoices
- Google Workspace, which runs our email inboxes, where website forms arrive
- Xero, our accounting system, for invoices and payments
- the services we use to send emails and texts, and to host our website and staff tools (including Cloudflare)
- manufacturers and their service networks when a job is a warranty claim or they ask us to do it
- licensed contractors who help on a job
- government bodies and rebate programs, where a job needs it (for example, an energy saving rebate) or the law requires it
Overseas
Some of these providers, including Google, Meta, Cloudflare and our email service, store or process information outside Australia, mainly in the United States. We choose well-known providers with strong security, but their own privacy policies and local laws apply to how they handle it.
Keeping it safe
Your details are kept in password-protected systems that only our team can get into. We keep records for as long as we need them for your job, your warranty and our tax and legal obligations, and then delete or de-identify them. If we ever have a data breach that's likely to cause you serious harm, we'll tell you and the Office of the Australian Information Commissioner (OAIC).
Getting a copy or fixing something
You can ask for a copy of the information we hold about you, or ask us to correct it, at any time. Just call or email us. We'll check it's really you, then get back to you within 30 days. There's no charge. If there's a legal reason we can't give you something, we'll explain why.
Questions or complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. Call or email and we'll come back to you within 30 days.
Still not happy? Contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
